Administrative & Special Projects Assistant I
University Enterprises, Inc. (UEI), a non-profit auxiliary of Sacramento State, is seeking an Administrative & Special Projects Assistant I for our High School Equivalency Program (HEP) and our College Assistance Migrant Program (CAMP). HEP and CAMP are educational programs that serve students from migrant or seasonal farm-worker families. HEP helps students who have dropped out of high school get their High School Equivalency Credential, and serves more than 6,000 students annually. CAMP assists students in their first year of college with academic, personal, and financial support. CAMP serves approximately 2,400 migrant participants annually. Overall, nearly three-quarters of all CAMP students graduate with baccalaureate degrees. These two programs are funded through grants from the U.S. Department of Education, Office of Migrant Education and are administered by universities, colleges, and non-profit organizations nationwide.

Pay Rate: $16.34 - $21.78 per hour

Position Overview:
The position performs general clerical functions and office support for programs under the Associate Vice President (AVP) of Strategic Diversity Initiatives including CAMP and HEP. The position will provide general information and assistance to students. The position reports directly to and receives general supervision from the AVP of Strategic Student Support Program. The position receives periodic work direction from the CAMP and HEP Directors.
Duties & Responsibilities:
- Screens telephone calls and receives visitors. Determines the nature of the call and whether the call can be handled personally or must be referred. Provides general information and assistance to staff and students.
- Performs clerical functions such as; typing, word processing, taking and transcribing minutes, computer data entry, and related tasks to facilitate the operation of CAMP and HEP.
- Monitors and maintains the program budget and related records.
- Reminds staff to submit their time report via the on-line timekeeping system and maintains attendance records. Works with University Enterprises, Inc. (UEI), University, and Associated Students Inc. (ASI) payroll departments to resolve discrepancies.
- Establishes and maintains office files and record keeping systems including confidential information and data.
- Monitors and maintains accurate inventories of office supplies and equipment.
- Maintains AVP’s, Director's and professional staff's appointment schedule and calendar of activities.
- Reminds staff of scheduled events and re-schedules appointments or meetings as necessary to accommodate unexpected changes in priorities or work schedules.
- Schedules facility reservations, food orders, and prepares travel requests and vouchers for special events and activities. Coordinates travel arrangements for AVP, Directors and other staff.
- Coordinates event/meeting details including preparing agendas and programs, send invites, confirm speakers, among other related duties
- Performs other duties as assigned by the AVP and Directors to ensure the success of the program and its participants.
Minimum Qualifications:
- Demonstrated experience in an administrative support position.
- Demonstrated skills in modern office methods, procedures, and practices including effective typing, word processing, and telephone skills.
- Excellent command of the English language including grammar, spelling, and punctuation.
- Demonstrated experience with computer applications including word processing, spreadsheet, database, and internet, such as the programs in the Microsoft Office Suite.
- Demonstrated experience creating and updating spreadsheets to track financial data.
- Demonstrated knowledge of basic budget maintenance procedures and practices.
- Demonstrated experience effectively communicating and working with all levels of employees and/or customers while maintaining a professional demeanor and exercising tact and good judgment.
- Experience handling and maintaining confidential information.
- Demonstrated experience working in a multi-cultural environment.
- Must be legally eligible to drive in California, complete and pass an online training course, maintain a good driving record, and be acceptable for vehicle insurance coverage under the University Enterprises insurance plan. Must continue to meet the established driving standards, driving record will be monitored with the California Department of Motor Vehicles to ensure compliance. Must have reliable transportation.
- Must be fingerprinted and pass a background check. Must continue to meet the established standards.
