MARIA Inc., the office of Maria Ramirez Hubbard, MD, is seeking part-time Medical Practice Office Managers (MPOMs) (leading to eventual FT) to manage Virtual clinics in transition to physical clinics in Miami, FL and San Juan Metro, PR . We provide neurological evaluations, psychological testing and neurophysiological testing to patients with brain injury, dementia, cognitive impairment and intellectual disability among others.
Our MPOMs , under the direction of Dr. Ramirez Hubbard, will be responsible for directing, supervising, and coordinating the overall operation of the practice. In particular, MPOMs will be instrumental in opening our new locations and transitioning from 100% virtual to virtual plus physical services.
RESPONSIBILITIES:
- Manage the overall operations of the practice
- Maintain an atmosphere in the office that is both personally satisfying and professionally stimulating
- Maintain the focus of the practice on quality patient care and practice management in all office activities
- Provides regular reports.
- Ascertains that all receipts, payments and handling of practice monies are done using generally accepted accounting procedures
- Confirms that audit trails are in place and perform periodic checks to reduce possibility of fraud
- Coordinate patient services, including front desk and billing.
- Manage all office personnel, either directly or via their immediate supervisors, including hiring and dismissals
- Maintain good communications with the Practice Partners and providers, supervisors and staff members.
- Assist the Practice Management in all aspects of the clinic operations.
- Maintain accurate payroll and personnel records
- Administration of employee benefits
- Handle staff problems and conflicts
- Must be knowledgeable of Medicaid, Medicare, HMOs, PPOs and other third party payment systems
- Must be knowledgeable with policies and procedures of the practice and ensure that all processes are being implemented and followed as required.
- Review and make recommendations regarding all participation agreements with third party payers
- Obtain the highest possible reimbursement for services rendered by the practice providers and staff by proper CPT and ICD-10 coding and fee updates when appropriate
- Make sure office is in compliance with all federal, state and local regulations relating to the practice, especially Medicare, OSHA, ADA, HIPAA and local fire protection regulations
- Maintain the safety and security of the office and its staff
- Arrange for the cleaning and maintenance of the office and its equipment
- Handle patient concerns and complaints
- Maintain patient electronic records and all other practice records and documents.
- Handle all license renewals and insurance coverage
- Coordinate the provider’s schedule with patient care, meetings and vacations
- Provide ongoing staff education, development and Human Resource support

KNOWLEDGE AND EXPERIENCE:
- At least five years of medical office management experience preferably in a mental health clinic office setting
- Knowledge of medical terminology
- Experience scheduling staff
- Experience with medical billing
- Experience with Florida or Puerto Rico Health guidelines
- Computer literacy
- Strong analytical and organizational skills, excellent written and verbal skills
- Ability to work independently, manage multiple priorities and meet established deadlines.
