Administrative Assistant
The Administrative Assistant provides customer service and support to the sales team in regards to office activities and sales objectives and is responsible for office organization. Position requires individual to be motivated, highly organized and a self-starter. The individual must have good communication skills to interact with internal/external contacts and customers as well as the ability to be a team player.
Hours (somewhat flexible): 11:00 am – 3:00 pm Monday-Friday
Marketing Event Management
• Event confirmation
• Manage supply ordering for marketing events
• Prepare customer info packets, marketing materials, giveaways
• Manage internet marketing – Website and Facebook
• Social media contests
• New posts (Education Week, Teacher Appreciation Week, etc)
Back office
• Filing as needed
• Organize existing filing system (one-time task)
Client Retention
• Process insurance policy requests daily
• Handle customer service questions and needs
• Send out birthday cards weekly
• Weekly filing
• Prepare client folders for upcoming meetings
• Contact clients to schedule annual review meetings
Lead management
• Enter leads and send initial contact email following events
• Confirm appointments
• Collect necessary information to create home and auto quotes for prospects
• Create client folders with quotes from agentd and necessary information
Business tracking
• Enter data into tracking reports
• Program trackers
• Expense reports
Position will receive raises if retention and agency-wide sales goals are met.
